You can only register one type of account. You would only usually need an administrator account if you have lots of classes at your school or institution which you would like to monitor. If you want to set up and manage classes, you will need to register a teacher account instead.

Setting up your institution

To see students' progress and monitor classes, you first need to create your Institution ID Code. You can share this code with your teachers, who can link their classes to your account.

To set up your institution:

  1. Choose Create Institution ID Code.

  2. Enter the name of your school or college.

  3. Choose Create Institution ID Code.

  4. Make a note of the Institution ID Code shown onscreen. You need to pass this to your teachers for them to link classes back to your account.

If you need to change the institution name at a later date, you can do this by following these steps:

  1. Choose the Edit icon next to the institution name.

  2. Enter a new name into the box.

  3. Choose Change name.

Connecting an institution to your LMS

If your institution is accessing Online Practice from your LMS (learning management system) you can link your administrator account to that institution. From your administrator Home page you can add your LTI key. LTI (Learning Tools Interoperability) is a method used to integrate two LMS. If your institution is not using LTI to access Online Practice you can still add classes to your institution by following the steps in Setting up your Institution.

To connect your LMS with your administrator Online Practice institution:

  1. Choose Link to LTI institution on your Home page.

  2. Enter your LTI key and choose Link institution

Linking Online Practice to your school or university LMS using LTI will import all of your classes for this course into your Online Practice institution and allow you to export reports of all students’ grades.

If you need to disconnect your LMS from your Online Practice:

  1. Choose the pencil icon next to your institution name on your Home screen.

  2. Choose Remove link.

Your LMS will be disconnected from your Online Practice institution account and its classes will no longer be available on your Home screen.

Create classes and import students

Importing students

If you know your students' details, you can import them into classes on behalf of teachers across all levels of your course. To import students into classes in your institution, you need to know:

  • Each student's full name.

  • Each student's Oxford ID username (or email address if they do not have an Oxford ID yet).

  • Each student's access code (If you do not know your students’ access codes to use during enrolment they will have to enter their access code the first time they use Online Practice).

  • Your teachers’ Oxford ID usernames - Teachers must already be enrolled to Online Practice for administrators to be able to enrol students into classes for them.

To create classes and import students into them:

  1. Choose Add from the left-hand navigation bar.

  2. Download the template .csv or .xlsx file. You need to enter your teachers’ and students' details into this file for the import to work.

  3. Enter your teachers’ and students' details into the file:

    • Book name: Enter the course and level exactly as it appears on your Home screen. The title must be exactly the same for the import to work.

    • Teacher username: Enter your teachers’ Oxford ID usernames or email addresses.

    • Class name: Add class names.

    • First name: Enter each student's first name.

    • Last name: Enter each student's last name.

    • Student email address / Username: Enter the student's Oxford ID username. This will usually be their email address. If a student does not have an Oxford ID, enter their email address and one will be created for them.

    • Password: Choose a password for the student. If the student already has an Oxford ID, this column will be ignored. Note: Each password must be a minimum of 6 characters and include at least one lower case letter and one upper case letter, with no spaces.

    • Access code: Enter the student's access code. The code must be for the same book used in the class. If you do not know your students’ access codes to use during enrolment they will have to enter their access code the first time they use Online Practice.

    • Each student needs to have their own row on the sheet with their class name, teacher’s username and course and level added in the correct column.

  4. When you have entered the details, save the file to your computer.

  5. Choose Upload your file and select the .csv or .xlsx file of your students’ and teachers’ details.

  6. The file will be imported.

Important: When the students and teachers have been imported, you need to give each new student their Oxford ID username and password so that they can sign in.

When teachers log in they will see a message displaying any new classes that have been created for them. Teachers will also see a message displaying any existing classes that have been added to an organisation.

Students who are already registered for Online Practice will see a message next time they sign in telling them they have been added to a class.

To remove a class from your institution choose Remove next to the class name on your Home page.

Teachers can also remove a class from an institution from the Edit class page.

Checking your import later

You don't need to stay on the Add students/Uploads page while your file is imported. After importing the file, you can sign out of your account.

To check the status of the import later, choose Home in the navigation bar. You will see all newly created classes.

To see which students have logged in to their account and joined their class, teachers must view the class list within their account.

Troubleshooting import problems

There are a number of reasons why an import might fail:

A problem with the system

If this happens, try the import again later. If you are still seeing the same error, please contact Customer Support at eltsupport@oup.com for help.

A problem with the file format or the columns in your file.

Please download the template .csv or .xlsx file and try following the import steps again.

A problem with the student details in your file.

These problems can often be fixed by changing some information in your file. To fix these problems:

  1. Choose Download report under the error message.

  2. Check the Status column of the file. Any students with the status Failed were not imported.

  3. Check the Result column for each student. Here you will see why they weren't imported.

  4. Make the changes for each student.

  5. Save the new file to your computer.

  6. Choose Upload changes and select the new file.

  7. The file will be imported.
